TBCA Booking Policy

This policy has been created by to facilitate the equitable use of TBCA resources and facilities. As digital bookings have come to replace physical sign-in sheets, this policy is important to ensure each member's access to TBCA amenities for their family and guests.

TBCA Booking Policy

A. OVERVIEW

The TBCA booking system was initially introduced for the 2021 pool season in a hope that it would allow us to regulate pool usage due to COVID guidelines. Post COVID, when the removal of the system for swim reservations was contemplated, Members voiced their overwhelmingly positive support to keep the system in place.

In addition, as the Club contemplates a change to our ageing Swimming Pool and other ideas to improve the member experience, the Booking System provides objective data and a way to understand how facilities are actually being used.

B. ON-LINE BOOKING RULES

To enable equitable sharing of TBCA amenities, the following Booking Rules are to be observed when digital bookings are made by Member Families:

digital bookings can be made a maximum of 7 days in advance by any adult member of a Member Family
bookings are limited to only one time slot per day of any specific resource, e.g. Family Swim, Tennis Court, Deck Table, etc. - this limitation is not enforced by the system, but is monitored by system administrators
each table or pool booking should include a maximum of six people
each court booking should include a maximum of four people
in lieu of a physical sign-in and for safety purposes, all members and guests attending should be listed on the digital reservation
as per the TBCA Constitution and By-Laws, a guest may not be introduced to the club more than 4 times per calendar year from all Members combined
in the case where there is a conflict between a Member with a confirmed digital booking of a resource, e.g. deck table, court, pool time, etc., and a Member without a confirmed booking, the Member with the confirmed digital booking will take precedence.
